These terms govern all bookings made with UK Photography Tours Ltd, trading as UK Photo Tours. By placing a booking, you agree to these terms. Please read them carefully before booking.
Last updated: June 2026. These terms apply to all bookings from 1 June 2026 onwards.

These terms are between you (the lead passenger and any other persons named on the booking) and UK Photography Tours Ltd, a company registered in England and Wales (Company Registration No. 17020308), trading as UK Photo Tours. References to "we", "us", and "our" mean UK Photography Tours Ltd.

A booking is confirmed when we receive your deposit payment and issue a booking confirmation in writing (by email). No booking is confirmed until you receive written confirmation from us.
You must be at least 18 years of age to make a booking. By booking, you confirm that all information provided is accurate and that all persons named on the booking accept these terms.
We reserve the right to decline any booking at our discretion, in which case any payments received will be refunded in full.

A non-refundable deposit of 30% of the total tour price is required to secure your place. The balance is due no later than 3 months before the tour departure date. For bookings made within 3 months of the departure date, the full amount is payable at the time of booking.
We will send a reminder when your balance is due. If the balance is not received by the due date, we reserve the right to treat your booking as cancelled and apply the cancellation charges set out in clause 5.
All prices are quoted in pounds sterling and include VAT where applicable.
Your deposit and all payments are 100% financially protected under the Package Travel and Linked Travel Arrangements Regulations 2018 via our insurer, Evolution Insurance Company Limited. See our financial protection page for full details.

Each tour page sets out precisely what is and is not included in the price. Unless stated otherwise on the tour page, our multi-day tours include: professional photography guiding throughout, and accommodation as specified. Kase Wolverine filter kits are available to borrow on tour at no charge. Other equipment, such as tripods, spare camera bodies, teleconverters and star trackers, is occasionally available by arrangement but is not guaranteed and does not form part of the tour price.
Unless stated on the tour page, the following are not included: travel to and from the meeting point, personal travel insurance, meals (unless specified), alcohol, and personal expenses.
Day tours include transport from the specified London meeting point and return, event entry (where applicable), and photography guiding. Meals are not included unless stated.

If you wish to cancel your booking, you must notify us in writing (by email). Cancellation charges apply from the date we receive written notice, as follows:
More than 3 months before departure - deposit only (non-refundable)
6โ12 weeks before departure - 50% of total tour price
4โ6 weeks before departure - 75% of total tour price
Fewer than 4 weeks before departure - 100% of total tour price
A minimum admin fee of ยฃ150 will be deducted from any refund due to you. This covers the non-refundable bank charges and insurance payments we have already made on your behalf at the time of booking. The admin fee applies regardless of when you cancel.
We strongly recommend that you purchase travel insurance with cancellation cover at the time of booking.

We guarantee departures once a booking has been confirmed. We will not cancel your tour due to low numbers.
In exceptional circumstances (including but not limited to severe weather, natural disaster, or events beyond our control), we may need to cancel or significantly alter a tour. If we cancel before departure, you will be offered the choice of: a full refund of all monies paid; or an alternative tour of equivalent value. In either case, we will not be liable for consequential losses such as flights, accommodation, or travel costs you have booked independently.
If we make a minor change to a tour (for example, adjusting a location within the same destination), we will notify you but no compensation will be payable.

Multi-day tours operate with a maximum of 5 photographers per group. Day tours operate with a maximum of 7 photographers per group. These limits exist to ensure personal attention and are a core part of what we offer.
We reserve the right to ask any participant to leave a tour if their behaviour is deemed unsafe, disruptive, or harmful to other participants or to the natural environment. No refund will be given in such circumstances.
All participants must comply with the instructions of the guide at all times, particularly at locations involving coastal access, cliff edges, or low-light conditions.

You must inform us at the time of booking of any medical conditions, mobility issues, or dietary requirements that may affect your participation. We will do our best to accommodate reasonable requirements, but cannot guarantee to do so in all cases.
Our tours involve outdoor activity, sometimes in remote locations and in variable weather conditions. You are responsible for ensuring you are physically capable of participating in the tour you have booked. If in doubt, please contact us before booking.
We strongly recommend that all participants hold comprehensive travel insurance, including emergency medical cover and evacuation.

All photographs you take on our tours are your own. We make no claim over your images.
By participating in a tour, you consent to being photographed for our promotional purposes (website, social media, print). If you do not consent, please let us know in writing before the tour begins and we will respect your wishes.
All content on our website, including photographs, copy, and design, is the intellectual property of UK Photography Tours Ltd and may not be reproduced without our written permission.

We take all reasonable steps to ensure the safety and enjoyment of every tour. However, we cannot be held responsible for circumstances beyond our reasonable control, including weather, natural events, industrial action, or the actions of third parties.
Our liability to you for any claim arising from your booking is limited to the total price of your tour, except in cases of death, personal injury, or fraud caused by our negligence.
We accept no responsibility for loss, theft, or damage to your personal equipment, including cameras and lenses, during a tour. You should ensure your equipment is covered by your own insurance.

Our multi-day tours constitute "package travel" under the Package Travel and Linked Travel Arrangements Regulations 2018. Your booking is therefore fully financially protected as required by law.

These terms and conditions are governed by English law. Any disputes arising from these terms or your booking will be subject to the exclusive jurisdiction of the courts of England and Wales.
Nothing in these terms affects your statutory rights as a consumer under English law.

We will acknowledge all complaints within 5 working days and aim to resolve them within 28 days.
